SUMMARY:

The inspection process of academic projects developed at the Federal University of Rio Grande do Norte (UFRN) aims to ensure, through the provision of technical accounts, the production, collection, treatment and presentation of information regarding the achievement of the agreed object. For 2020, the budget for the development of the portfolio, which includes 71 projects, exceeds R $ 468 million. This amount justifies the implementation of actions aimed at monitoring and control, as well as showing the importance of managing information relevant to the process. The execution of this process in a regular, methodical and systemic manner, contributes to transparency, efficiency, effectiveness and, above all, effectiveness of public spending. Based on this situation, the present study asked: How can Information Management contribute to the evolution of the inspection process of academic projects developed at UFRN? Therefore, in order to answer this question, in general, we sought to: analyze the contributions that Information Management can provide to the process of monitoring academic projects developed at UFRN. And specifically: a) to know how coordinators and inspectors carry out the stages of the information management process in the scope of inspections; b) map the informational flows of inspections, in order to identify the events that influence the course of information and the quality of the supporting documents presented; and c) improve the current ones and create new informational products and services, capable of contributing to the evolution of the inspection process of academic projects developed at UFRN. To achieve these objectives, a qualitative, descriptive and applied research was developed, based on the phases of the information management process, based on a case study. As a data collection instrument, semi-structured interviews were applied to the research subjects, and documentary research was carried out. For data analysis, qualitative analysis in five phases was used according to Yin (2016), in addition to data triangulation. The results pointed out the absence of institutional standards directed to the accomplishment of the tasks pertaining to the stages of the information management process applied to inspections, causing barriers to the information flow and impairing the quality of the supporting documents made available to PROPLAN inspectors. Thus, an intervention proposal was prepared that provides a particular view of the changes suggested for each of these stages. The proposal includes the creation or modification of information products and services that will support the operational procedures of the new process.
