SUMMARY:

Information overload has brought out the need for improvement on individual knowledge and information management skills, as well as in the use of technological tools to support these processes. Personal knowledge and information management is a recent approach that combines the subjects personal information management, personal knowledge management and information literacy. Thus, the general objective of this study is to analyze the personal knowledge and information management of department secretaries at the Federal University of Rio Grande do Norte (UFRN). To achieve this objective, the following specific objectives were outlined: (i) Describe the personal knowledge and information management process of secretaries; (ii) Verify the difficulties and potential of secretaries in the management of personal knowledge and information; (iii) Propose strategies to improve personal knowledge and information management of secretaries. The objectives were achieved through an applied research of a descriptive and exploratory nature with a quantitative and qualitative approach, carried out through field research. Data collection was accomplished using questionnaires from sixty-six technical administrative staff working in secretariats of academic departments on the central campus of UFRN. The analysis of the collected data was fulfilled by using descriptive statistics and content analysis. It was observed that the mean scores on the general PKIM scale and its domains ranged from medium to very high values within the scale. There was a preference for contact with other people in the Search domain, and it was possible to determine wich virtual environments were considered the easiest and wich were the most difficult to locate instructional information. In the Organization domain, there was greater satisfaction with the storage structure on a personal computer/HD and dissatisfaction and low use of physical folder structures or paper printouts and notes in notebooks or binders. There was a preference for sharing information and knowledge virtually. Most participants responded that they did not have an instruction manual in their unit. From content analysis, it was possible to identify weaknesses in the search domain, in the use of digital sources, as well as in the organization, sharing and creation domains. For each difficulty highlighted, improvement strategies were outlined, such as the Unit Manual Model, the proposed Standards and Procedures module in SIPAC and the proposed PKIM Training Course. The high scores on PKIM scale suggests that the PKIM self-assessment scale is not very sensitive in identifying the difficulties faced. Thus, we propose that future studies be carried out that prioritize qualitative research methods, and that other administrative technicians research groups be considered, such as secretaries of undergraduate and postgraduate courses.
